Getting the Client's data - add QuickBooks data

How to add data from a Client's QuickBooks desktop records into Checkmybooks.

Request that the Client uploads it to Checkmybooks

If you either don't have a copy of QuickBooks or would just prefer not to handle the QuickBooks backup file, you can ask your Client to upload their data directly into Checkmybooks for you.

To do this, select "I would like to email the Client so they can upload the data" from the options presented during the Add Job process.

If you have previously entered contact details for the person who would deal with uploading the Client's data then their details will be shown. If there are no existing contact details, you can enter them now and they will be saved on the Client record.

When you click Next, Checkmybooks will email the contact asking them to upload their QuickBooks data.

Once the data has been received and processed, Checkmybooks will email you to confirm that it is ready for you to review.

Upload the data yourself from a backup you already have

If you already have the Client's QuickBooks backup then you can upload the data to Checkmybooks yourself. You must have restored the data into your own copy of QuickBooks to proceed.

To do this, select "I have the Client's data on my computer" from the options presented during the Add Job process.

When you click Next you will see the extractor application download.

 

When it has downloaded, run the application and then paste the displayed security code into the box. Then click the Validate button.

 

The extractor application will confirm the details of the Job and Client to you. If you are happy to proceed, click the Extract and Upload data button.

Note: you will see a confirmation message if the name of the business in QuickBook is different in any way to the name of the Client as setup in Checkmybooks. Often this message is triggered just by simple punctuation differences. However, this is your chance to make sure that you are uploading from the correct QuickBooks backup file.

When you see the "Upload complete" message you can close the extractor application.

This Job will show in the Received tab of the Clients and Jobs table, with the date link greyed-out until the uploaded data has been processed and is ready for you.

 

You don't need to wait for this - Checkmybooks will email you when the Job is processed and ready.
